What to say when a client asks
Most clients never ask. Some will, and the worst response is a vague or untrue one. Decide your answer in advance and keep it truthful.
If the question is about your team, you can say something like:
"We work with a trusted fulfillment partner for part of our delivery. I review everything before it reaches you, and I'm personally accountable for the result."
If the question is about confidentiality:
"Anyone who works on your account is bound by a confidentiality agreement and only has access to what the task requires."
Both answers are true, both are calm, and both put the focus on what the client cares about: quality, accountability and the safety of their information. Clients are rarely bothered by who did the work. They are bothered by feeling they were misled about it.
Say this, and avoid that.
| Situation | Safe practice | Risky practice |
| A client asks who does the work | A truthful, confident answer that stresses your accountability | Inventing a team, a location or credentials that aren't real |
| Handling client files | Access through your agency's accounts, limited to the task | Sharing personal logins or sending files over open channels |
| Review before delivery | You or your quality owner checks every deliverable | Forwarding partner work to the client unseen |
| A mistake happens | You tell the client promptly and fix it | Hoping nobody notices |
| Promising scope | Confirming capacity with your partner first | Saying yes before checking you can deliver |
